Terms of Service

The Process

Request a Trip: All golf trips are initiated by our customers by replying to an ad or filling out a request form.  We use this data to create quotes based on the customer’s requirements and preferences.

Acceptance: A customer “accepts” a quote by making a deposit, which is non-refundable but fully applicable to the package price.

Bookings: Once accepted, we make tee times and bookings with our vendors on your behalf.

Itinerary: Once confirmed, a final itinerary is shared with the group.  Any corrections or clarifications are made at this point.

Final payment is due 30 days in advance of arrival.  Larger groups may incur additional deadlines and interim payment requirements based on vendor policies that supercede our policies.

Vouchers are provided shortly prior to travel.  These vouchers are valuable documents used to check in to the pro shops, lodging venues and transportation companies.  Any expenses incurred for travel not represented by these vouchers are the responsibility of the customer.

Follow up: We will follow up with the customers after their travel to understand what worked well, what could be improved and what was problematic.  We look forward to hearing this feedback to improve our processes along with those of our vendors.

Communications

All communications will take place via email, SMS Text or phone calls.  In all cases, Arizona Golf Trails will be the business name used in these communications.  We will work with you to clearly understand your requirements, preferences and satisfaction as we create and fulfill your golf trip throughout the Quote, Invoicing, Travel and follow up stages.  As such, messaging will vary depending on the complexities involved with your specific trips.

Payments

We require deposits for all golf trips. These deposits are non-refundable but are fully applicable to the package price.  The full package price of the trip is due 30 days prior to arrival. Larger groups may trigger Tournament Status which usually involves contracts with the courses and additional payment schedules.  We will keep you apprised of any custom payment cycles mandated for your customoer trip.

Each group member may pay for any number of participants.  We accept all major credit cards, checks, Zelle and Venmo.

Cancellations and Refunds

  1. Cancellation terms vary by vendor and our cancellation policy mirrors the vendor’s policy.  Typically, cancellations can be made no later than a week in advance for a full refund.  If the cancellation is made less than a week in advance of arrival, Customers will receive a 50% refund.  However, in each case, a particular golf course, lodging, transportation or other provider’s cancellation policy supersedes our Arizona Golf Trails policy. For example, if a hotel requires 10 days notice for a full refund, this policy will be in effect for the trip. For double-occupancy rooms, the group leader (Trailboss) is responsible for the balance of the lodging cost if a single Customer cancels. The Trailboss has the option to pay the balance himself/herself, spread the balance among the other Customers in the group, or have the Customer in a single occupancy room pay the balance. The group leader will inform Arizona Golf Trails before the trip how they intend to pay the balance and make arrangements with us to do so.
  2.  Substitution of Services/Cancellation by Arizona Golf Trails. Arizona Golf Trails reserves the right to substitute courses and accommodations other than those first agreed upon due to availability or other issues. Arizona Golf Trails will make every good faith effort to provide alternate options that are most suitable to the group leader. With the group leader’s agreement, Arizona Golf Trails will modify the trip to include the alternate course(s) and accommodations, making all the necessary arrangements and communicating them back to the group leader. Any changes to the cost of the trip will be communicated to the group leader at the time the options are presented. Customer has the option to refuse these changes and cancel the trip without penalty and receive a full refund. If comparable services or accommodations cannot be supplied due to causes beyond our control, there will be no liability or responsibility by Arizona Golf Trails. In the event complete cancellation is required by Arizona Golf Trails, Arizona Golf Trails only liability will be to refund all monies paid without interest.

    (c) Weather/Rain. If a round of golf is completely rained out due to weather and the golf course does not charge Arizona Golf Trails, Arizona Golf Trails will refund each Customer the full cost of the round. If a round of golf is partially rained out, the Customers should be sure to receive rain checks from the course. These can be used at a later date if the group wishes, or Arizona Golf Trails may purchase them for 50% of their face value. There is no refund for a partial rain-out.

  3. LIMITATION AND WAIVER OF LIABILITY
By embarking upon his/her travel, the customer voluntarily assumes all risks. Arizona Golf Trails books golf, lodging and transportation and issues all vouchers for the customer only upon the express condition that Arizona Golf Trails and its employees, officers, directors or any individual representatives shall not be held liable for, and customer shall indemnify Arizona Golf Trails from, any and all claims, losses, personal injury, damages, costs, expenses, delays or loss of enjoyment of any nature or which may be occasioned by acts, omissions or negligence of the persons or companies rendering any of the services, or by any customer, and customer agrees not to bring any action against Arizona Golf Trails arising therefrom. Arizona Golf Trails shall not be held responsible or liable for losses or additional expenses due to changes or delays of any kind beyond that agreed in the quotes, itineraries, and provided for with the vouchers.  This includes air, road, or other services, sickness, labor disputes, war or threat of war, weather or other causes, as well as services not specifically provisioned by Arizona Golf Trails.  Arizona Golf Trails shall not be liable for any additional expenses of any kind, nor damage to hotel or condo properties, including incidentals or additional services offered and accepted by the golf groups, but not covered or paid for up front by Arizona Golf Trails.  The Customer hereby expressly waives any claims for loss, damage, injury or additional expenses of any kind against Arizona Golf Trails. Arizona Golf Trails cannot guarantee weather conditions nor can we be responsible for any shut down, in whole or in part, of the operation of the facility (golf course, hotel or other supplier), whether they be caused by weather or for any other reason.

IN ANY AND ALL INSTANCES, ARIZONA GOLF TRAILS’ LIABILITY TO CUSTOMER IS EXPRESSLY LIMITED TO A REFUND OF ANY FEES PAID TO ARIZONA GOLF TRAILS BY CUSTOMER, AND SHALL SPECIFICALLY EXCLUDE (WITHOUT LIMIT) ANY OTHER ACTUAL DAMAGES, CONSEQUENTIAL, INDIRECT, OR SPECIAL DAMAGES WHATSOEVER, FROM ANY CAUSE OF ACTION.

The parties agree that exclusive venue for any action in any way arising out of this Agreement is any court of competent jurisdiction in Pinal County, and that Arizona law shall apply without reference to its conflicts of laws principles.
